Administrative Assistant – Urbandale, IA
The Administrative Assistant is responsible for the day-to-day operations of posting, verifying, and reconciling accounts payable, accounts receivable, expenses, or other ledger accounts. The Administrative Assistant serves as the in-house revenue support personnel for all areas within NPPC. The position requires a detailed and accurate knowledge of the accounting system in place as well as PAC and SIP remittance entry and reporting systems. This position also supports NPPC staff in an administrative role for other areas on an as needed basis.
Essential Duties and Responsibilities:
Accounting
- Ensures that expense coding, voucher preparation, and check issuance are accomplished accurately and timely
- Account Receivable
- Creates and sends invoices for company (SIP, WPX, PPIC, Alliance Dues, PAC Auction, State Exec, Forum)
- Tracks all invoices from vendors through payment
- Accounting reporting to staff on a regular schedule for ageing
- Weekly deposit tracking
- Apply payments
- Accounts payables
- All incoming invoices for the DSM and WDC office via electronic transmission.
- Expense reports and verification of expense reports.
- Issue State revenue checks monthly if not set up on ACH.
- Responds to vendor and staff requests for account information
- Sorts, files, and maintains documents after posting
- Works directly with NPPC Director of Accounting on AR, AP, and other accounting issues
- Assist with year-end audit process
- Initiate upon approval online banking function and processing of wires/ach transactions
- Performs other accounting clerical tasks as assigned
- On site event accounting assistance
- Pork Forum auction
- World Pork Expo (golf, clay shooting)
Administrative
- Coordinates, compiles, and prepares reports as needed
- Shares in general NPPC office responsibilities as directed (i.e. receptionist breaks)
- Makes travel arrangements as required for senior staff members
- On site meeting organization and facilitation (set up, food, and clean up)
- Supports other senior staff for projects assigned

Hours: The position requires daily in-person attendance during regular business hours and will occasionally require after-hours assistance and attendance during special events, meetings, and conferences.
Qualifications:
- Knowledge of bookkeeping procedures and good accounting principles
- Self motivated, self starter that works effectively without direct supervision
- Good organizational skills with the ability to multitask
- Ability to operate calculator keypad.
- Excellent communication skills, both written and verbal are required
- Thorough understanding of computer technology required
- Thorough understanding of Microsoft Office packages
PHYSICAL DEMANDS AND WORKING CONDITIONS
- Work involves near continuous use of computer terminal.
- Requires light physical effort such as stooping and bending, and occasional lifting of lightweight objects (up to 50 pounds).
Travel: Moderate travel required, annual meeting. Must have a valid driver’s license.
Education and/or Experience: The ideal candidate should possess an associate’s degree. Experience and success in a business environment may be substituted for education (at least 3 years’ experience).
